Word for Word Australia, trading as Word for Word Services Pty Ltd,  ABN 55 687 941 162, is committed to protecting the privacy and confidentiality of our clients, contractors and staff.

We understand that the information, audio, video, documents and transcripts we handle may be sensitive or confidential. We take reasonable steps to ensure this information is collected, stored, used and managed with care.

Information we collect

We only collect information required to provide our services. This may include your name, organisation, contact details, service requirements, files or materials provided for transcription, and any other information needed to complete the work requested.

How information is used

Information provided to us is used for the purpose of delivering transcription, court reporting, stenography, captioning and related services.

We do not share personal or confidential information with third parties unless we have consent, it is necessary to provide the requested service, or we are required by law to do so.

Confidentiality

We uphold our legal and ethical obligations when handling confidential information.

All reasonable steps are taken to protect information from misuse, loss, unauthorised access, modification or disclosure. Contractors and team members working with Word for Word Australia are expected to maintain confidentiality and handle client information appropriately.

Storage and retention

Audio, media files and completed transcripts are stored securely for the purpose of completing and delivering the requested work.

Unless otherwise agreed, audio/media files and completed transcripts are stored for 28 days after delivery of the work, after which they are deleted from storage.

Access to information

Clients and their legal representatives may request access to personal information held by Word for Word Australia. All requests will be treated respectfully and managed in accordance with applicable privacy obligations.

Privacy breaches

If a privacy breach occurs and is likely to result in serious harm, Word for Word Australia will take appropriate steps, including notifying affected individuals and relevant authorities where required.
